ColLab Pet Photography

1. Introduction
These Terms & Conditions govern all services provided by ColLab Pet Photography.
(“Photographer”) to the client (“Client”).
By booking a session, you agree to be bound by these terms.

2. Booking & Payment

To secure your session, full payment is required at the time of booking.

Please note that session dates are not confirmed until payment has been received in full.
3. Cancellations & Rescheduling
-
Clients may cancel within 14 days of booking and receive a full refund, in accordance with UK consumer law.

After the 14-day cooling-off period, all payments (including deposits) become non-refundable.

By scheduling a photography session to begin within 14 days of the booking date, the client expressly agrees to waive their statutory 14-day cooling-off period.

Clients may reschedule their session once, free of charge, provided the request is made at least 3 days prior to the scheduled session.

Rescheduling requests made within 3 days of the session may result in forfeiture of the deposit or full payment, depending on the circumstances.

Clients who request to reschedule more than once may forfeit the opportunity to rebook and may be subject to cancellation without refund.

The Photographer reserves the right to reschedule due to weather, illness, or emergency.
4. Session Details

The Client agrees to arrive on time and bring pets that are healthy, clean, and well-behaved.

The Photographer reserves the right to end the session early if a pet's behaviour becomes unsafe or unmanageable.

The Client is solely responsible for the supervision, control and care of their pets during the session. The Photographer will not be held liable for any injuries, accidents, or damage caused by the pet before, during or after the session.

Clients are encouraged to bring items that help keep their pets calm and engaged, such as leashes, favourite toys and treats. These can be useful tools for holding poses and maintaining attention during the session.

For on-location shoots, it is the Client’s responsibility to ensure pets are legally permitted at the chosen venue or outdoor area. The Photographer may suggest locations based on lighting and safety, but accepts no responsibility for local restrictions or regulations.
5. Image Delivery

A gallery of images will be delivered within 7 days of the session. These will be professionally edited, except where the chosen package specifies unedited (RAW) images.

Final images will be provided to the Client via a secure digital link delivered by email and will remain accessible indefinitely. (While final images will remain accessible indefinitely via the digital link provided, ColLab Pet Photography cannot guarantee permanent storage by third-party hosting platforms. Clients are encouraged to download and back up their images upon receipt.)

6. Copyright & Usage

All images remain the copyright of the Photographer.

The Client is granted personal usage rights to the images (e.g., for printing, social media, etc.).

Images may not be sold, altered, or used for commercial purposes without written permission.

We reserve the right to use selected images for promotional purposes (e.g., website, social media, marketing).
7. Model Release
By booking a session, the Client grants ColLab Pet Photography the irrevocable right to use photographs of their pet(s) for promotional purposes, including portfolio display, website, social media, and marketing materials. If the Client does not wish for their images to be used in this manner, they must notify the Photographer in writing prior to the session.
8. Liability

We take all reasonable care during sessions, but we are not liable for injury, loss, or damage to pets, people, or property during the shoot.

The Client is responsible for their pet’s behaviour and agrees to indemnify the Photographer against any claims arising from the session.
9. Force Majeure

If we are unable to perform due to circumstances beyond our control (e.g., natural disasters, illness), we will offer to reschedule or refund the session fee.
10. Complaints Procedure
We are committed to providing a high-quality, professional service. If you are dissatisfied with any aspect of your experience, we encourage you to bring this to our attention so we can address the issue promptly and fairly.

How to Make a Complaint:
Complaints must be submitted in writing via email to collabpetphotography@gmail.com within 7 days of receiving your final images or completing your session. -
Information to Include:
Please include your name, session date, a detailed description of the issue, and any relevant supporting information or images. -
Response Time:
We aim to acknowledge receipt of your complaint within 3 business days and to provide a full response within 14 business days. -
Resolution:
Where appropriate, we will work with you to find a reasonable and fair resolution. This may include re-editing images, offering a partial refund, or rescheduling the session, depending on the nature of the complaint. -
Limitations:
Please note that artistic style, image composition, and editing decisions are at the discretion of the Photographer and are not considered grounds for complaint unless they deviate significantly from what was agreed upon in writing prior to the session.

11. Additional Fees
Additional charges may apply under the following circumstances:

Journeys beyond Darlington will incur a mileage charge of £0.40 per mile.

A fee of £10 will be applied for each additional pet.
-
Time exceeding the scheduled session duration will be charged at £5 per additional 10 minutes.
All additional fees will be clearly communicated to the Client in advance of the session.
12. Privacy & Data Protection
ColLab Pet Photography respects your privacy. Personal information collected (e.g., name, contact details, session images) is used solely for communication, image delivery, and promotional purposes with your consent. Your data will not be sold or shared with third parties. You may request the removal of your data or images from our records at any time.
13. Client Responsibility
The Client agrees to cooperate and follow instructions during the session to achieve the best possible results. The Photographer is not responsible for unsatisfactory images due to lack of client cooperation, pets that are unresponsive, or external circumstances beyond their control.

14. Gift Vouchers

Vouchers are valid for 12 months from the date of purchase, unless otherwise specified. Bookings must be made within this 12-month period. Expired vouchers cannot be extended or redeemed.

Each voucher entitles the holder to a pet photography session as outlined at the time of purchase.
-
Inclusions may vary, and additional charges may apply. These may include fees for additional pets, travel expenses, or extended session time. All additional charges will be clearly communicated and agreed upon in advance.

To book your session, contact us via phone or email using the details provided on your voucher.

Sessions are subject to availability – we recommend booking early to secure your preferred date.

Vouchers are non-refundable and cannot be exchanged for cash.

Once a voucher has been redeemed for a session, that session is subject to our standard Terms and Conditions.

One reschedule is permitted per voucher, subject to availability.
-
Vouchers are non-transferable, unless prior approval has been granted.

Only one voucher may be used per session, unless explicitly stated otherwise.
-
If your voucher was purchased through a payment platform such as SumUp, your payment details are securely handled and stored in accordance with their privacy policies.
15. Agreement
By booking a session with ColLab Pet Photography, you acknowledge that you have read, understood, and agree to be bound by these Terms & Conditions in full.
